The Membership That Pays for Itself

People join an association for its mission, but they renew for value they can count. Here is how member benefits at partner businesses β€” with every use recorded β€” let members see what belonging gives back, and turn local businesses into partners of the association.

Ask a member why they joined your association and you will hear about the mission β€” the profession, the community, the cause they believe in. Ask the same member, a year later, why they renewed, and the answer is usually more practical. They talk about what they got.

Both answers are honest. People join with their hearts and renew with their heads. The trouble is that most of what an association gives its members is never counted. A discount at the pharmacy, a better rate from a supplier, a dinner at a fellow member's restaurant β€” used, appreciated and forgotten. When the renewal comes round, the head goes looking for evidence and finds none.

A benefit nobody counts is a benefit nobody remembers.

Why member discounts quietly fail

Almost every association has tried member discounts, and the story is usually the same. A committee member signs up a dozen local businesses. The list goes into the welcome pack and onto the website. Members are told to "show your card".

Then the benefit starts to fade. The shop's new staff have never heard of the arrangement. The member forgets which card to show, or whether their membership is still current. Nobody writes anything down, so nobody knows whether the offer was used once or a thousand times. The business cannot see what it gained, and quietly stops honouring it. The association cannot tell members what the scheme is worth, so it stops mentioning it. A year or two later the list is out of date, and the idea is filed under "we tried that".

The problem was never the discount. It was that the value was invisible β€” to everyone.

The difference is not how generous the offer is. It is whether each use is recorded, so that the member, the business and the association can all see what the arrangement is worth.

One bill, counted three ways

Recording a benefit sounds like extra work at a busy counter. Done well, it takes less time than finding the right card in a wallet.

One use of one offer β€” split two ways, and counted for all three.
  1. The offer β€” each partner's offer sits in the member's app, with its terms written as numbers: a percentage or a flat amount, any minimum bill, and how often a member may use it. Offers are shown only to members whose membership is active, and some can be kept for particular groups β€” or for a member's birthday month.
  2. The card β€” at the counter, the member shows the QR code on their digital membership card. Staff scan it with an ordinary phone camera and see the member's name, photo and whether their membership is active. The code refreshes every few minutes, so a forwarded screenshot soon stops working.
  3. The bill β€” staff type in the bill amount and the discount is worked out from the offer's terms. They need no account and no password: the business opens a counter link once, on the phone by the till. The owner can also record a sale from their own app, or the member can record it themselves.
  4. The record β€” when the business records a sale, the member gets a note in their app saying how much they saved, and where. Every entry adds to three running totals: what the member has saved, what the business has earned from members, and what the association's benefits are worth.

Nothing is lost in the split. The discount is the member's benefit; the amount paid is the business's takings from members. Together they are the value of the trade your association brought through that door.

What makes an offer worth using

The offers members actually use have a few things in common, and size is not one of them.

  • Everyday, not occasional. A modest saving at the pharmacy, the stationer or the lunch place members already visit gets used every week. A large discount on something bought once in ten years is admired and forgotten.
  • Simple to understand. Money off the bill gets used. A discount hedged with conditions β€” selected items, certain days, a minimum spend β€” gets skipped at a busy counter.
  • Close to members. A partner in every area where members live and work beats three partners on the same street.
  • Personal. An offer kept for one chapter or group, or for a member's birthday month, feels like a gift rather than a promotion.

The member

The value of belonging stops being a feeling and becomes a figure. The member's app shows what they have saved this year and across how many offers β€” and how much of what they paid to belong has already come back to them. A member who can see that their membership has paid for itself does not need persuading at renewal. (Why renewals are really decided months earlier is the subject of The Silent Drift.)

The partner business

New customers arrive already trusting the business, because they trust the association that introduced it. Staff check a member in seconds, without phoning anyone. The owner sees in the app the business members brought this month, this year and in total β€” with members' names masked, so the business sees its trade, not the members' identities. A business does not even need to be a member to take part: it can offer your members a discount through your association's own link, and every offer is reviewed by the association before members see it.

The member who runs a business

Many associations are full of business owners, and for them the arrangement works twice: they save as customers of other members, and they gain as sellers to them. They can publish an offer for fellow members from their own app. And because the association can see when the member using an offer represents a business too, it can see how much trade its members do with each other.

The committee

For the first time, the committee can say what its benefits are worth. One report shows what members saved, what member businesses earned, how many members used an offer, and which businesses and which members were most active β€” month by month, and ready to export. Each offer shows how often it has been used, so the committee knows which partnerships to renew and which to rethink. And when a wrong entry slips in, it can be voided with a reason, so the figures stay honest.

The association

A number for the annual general meeting, the newsletter and every membership drive: our members saved this much, at this many businesses, this year. That sentence does more for recruitment than any list of logos, because it is proof rather than promise. And a group of local businesses that can see the value of your members becomes a group of partners with a stake in your association's growth.

Members who bring the businesses

The best partners are often the businesses members already use. A member can refer one from the app: they add its name and number, and send it a link. The business confirms its own phone number with a one-time code and accepts the terms; the association reviews the referral and approves it. From then on it is a members-only partner that can publish offers β€” and the member can see where each referral they have made stands.

Putting it to work

You do not need a large scheme to start. You need a few good partners and a record of every use.

  • Start where members already shop β€” ask members to refer the businesses they trust, and let those businesses apply through your association's link.
  • Put numbers on every offer β€” a percentage or a flat amount, so each use calculates itself at the counter.
  • Give every partner a counter link β€” so staff can check a card and record a sale without an account.
  • Show members their savings β€” tell them where to find the figure in the app, and quote the association's total at the AGM and before renewals.
  • Review the report every quarter β€” keep the offers members use, and rethink the ones they don't.

People join for the mission and stay for the value they can count. Count every benefit, and let the membership show that it has paid for itself.
