When a member does not renew, the committee usually asks what went wrong with the renewal. Was the reminder late? Was the form confusing? Did the payment fail?
Sometimes it was. More often, the renewal was not where the member left. They left months earlier β the evening they skipped the meeting, the update they did not open, the benefit they meant to use and never did. Nobody noticed, because nothing happened. There was no resignation letter and no complaint. There was simply less and less contact, until the renewal notice arrived asking a question the member had already answered.
Members rarely quit at renewal. They drift away months before, and the renewal notice only confirms it.
How a member drifts
Drift has no single moment, which is why it is so easy to miss. It is a year in which a member's connection to the association fades a little at a time.
- 1Joins, full of good intentions
- 2Misses the first event β βnext timeβ
- 3Stops opening the updates
- 4Forgets the benefits are there
- 5Wonders, βwhat do I get for this?β
- 6The renewal notice arrives β and is ignored
Each step looks harmless on its own. A missed event is a busy week. An unopened message is a full inbox. But the steps add up, and they all point the same way. By the ninth or tenth month, the member is asking the question every lapsed member asks: what do I actually get for this? If the association has not answered it during the year, the renewal notice cannot answer it now.
Part of the problem is where associations look. A membership register holds two dates for each member β when they joined and when they are due β and nothing in between. Everything that decides whether a member stays happens in the part of the year the register cannot see.
The four reasons members drift
Associations lose members for all sorts of reasons, but drift usually comes down to one of four.
- They never got started. A member who has not come to anything in their first few months rarely becomes a regular later. The first weeks set the pattern, which is why a slow welcome costs far more than it seems.
- The value is invisible. The member used a benefit, came to an event, met someone useful β and none of it was recorded or remembered. At renewal, it feels as though they got nothing.
- The only message is a bill. If the association writes mainly when money is due, members learn that its messages are about money. The relationship becomes a transaction, and transactions get cancelled.
- Nobody noticed. The member went quiet and nobody asked why. People rarely leave an association that would have missed them β and they can tell the difference.
What a year of silence sounds like
Put the two kinds of association side by side and the difference is not how good their renewal notice is. It is everything that came before it.

Month of membership
- A welcome, with the card in the app
- An event to come to
- A benefit used, and the saving shown
- News that isnβt a bill
- Recognition worth sharing
- Members meeting members
- A call from someone who noticed
- Renewal in one step
The cure for drift is not a better reminder. It is a year in which the association keeps turning up in the member's life β usefully, and not only when money is due.
- A welcome that arrives in moments β with a digital membership card in the member's pocket from the first day.
- Something in the calendar β events members can find and register for in the app in a few taps, so the second event is as easy to say yes to as the first.
- Benefits that count β offers at partner businesses, with each use recorded and the member's savings shown in their app. (How that works is the subject of The Membership That Pays for Itself.)
- News that isn't a bill β announcements in the members' app, with a notification when they go to everyone, or shown only to one branch or group when that is who they concern.
- Recognition β certificates for what members learn and contribute, which they are proud to share.
- Each other β a members-only directory, so members can find the colleague, supplier or neighbour who makes membership worth having.
None of these is a grand gesture. Together, they mean the member hears from the association, uses the association and thinks of the association several times a month β and a member who does that is not drifting.
What the committee can see β if it looks
Drift is silent, but it is not invisible. It leaves traces, and when an association runs on a shared platform rather than a spreadsheet, the traces are recorded as a matter of course:
- Who is due β a list, in the membership reports, of everyone whose membership ends in the next 30 days, with their plan and the days left.
- Who comes β every event keeps its list of who registered and who was checked in on the day, so the committee can see who turns up β and who used to.
- Who uses the benefits β the member benefits report lists the members who have used an offer this year, and what they saved.
- What was said β notes on each member's record, so when someone calls a quiet member, the next person to call knows what they heard.
None of this does the noticing for you. But it means the names are there when someone on the committee sits down to look β and the members who appear on none of those lists are the ones to call first, long before their renewal is due.
When a membership does lapse
Even in a well-run year, some memberships will run out. What happens next matters as much as what came before.
A lapsed member still sees the association in their app, with a clear way to renew. What pauses are the things that belong to current members β the members' directory, member-only announcements and the benefits. Events stay open, so a lapsed member can still walk back in through the door they know best. Nothing is deleted and nobody is shut out; renewing is a single step, and everything returns the moment they do. (The practical side of that is the subject of Renewals on Autopilot.)
What each person gains
The member
A membership that is useful all year β and an association that notices when they go quiet.
The secretary
Fewer lapsed members to chase, because the gentle chasing happened all year.
The treasurer
Renewals that arrive steadily, instead of in a last-minute scramble.
The president & committee
Growth that sticks β every member kept is one you never have to recruit again.
The association
Long-serving members become tomorrowβs volunteers, office-bearers and recruiters.
The member
A membership that is useful all year rather than only when it falls due β and an association that notices when they go quiet.
The secretary
Fewer lapsed members to chase in renewal season, because the gentle chasing happened all year. A list of who is due, rather than a spreadsheet of dates to sort.
The treasurer
Renewals that arrive steadily instead of in a last-minute scramble, and fewer members to win back with a second or third reminder.
The president and the committee
An association that grows because it keeps the members it already has. Every member kept is one the association does not have to recruit all over again.
The association
Members who stay for years become the regulars, the volunteers, the office-bearers and the recruiters of the next generation. Retention is not only about this year's numbers; it is how an association builds its future leadership.
Putting it to work
- Make the first three months count β a quick welcome, the card in the app, and a personal invitation to one event.
- Put something in the calendar every month or two β it does not need to be large; it needs to be regular.
- Write for reasons other than money β news, recognition, members' achievements, what the association did on their behalf.
- Make value visible β show members what they have saved, learned and gained, and say it out loud at your meetings.
- Look at the lists every quarter β who is due, who has come, who has used a benefit β and call the quiet members before the renewal does.
- Note every call β so the next person to reach out knows what was said.
Renewal is not a moment. It is the sum of a year. Win the year, and the renewal takes care of itself.
