Your association in every pocket

The Association in Every Pocket

For most members, an association is a once-a-year relationship β€” a renewal notice, an AGM circular, perhaps one event. Here is how being in the app they already carry turns it into part of their week, and what members, newcomers, office-bearers and member businesses each gain when it does.

Look at the first screen of any member's phone. Their bank is there, and their messages, their maps, the app they order lunch from. These are the things that are part of their week.

Their association usually isn't. For most members it is a once-a-year relationship β€” a renewal notice, an AGM circular, perhaps one event β€” and in between, it is invisible. Then committees wonder why members ask, "What do I actually get for my membership?" The honest answer is that they rarely see it.

An association members hear from once a year is treated like a bill. One they carry in their pocket becomes part of their week.

From once a year to once a week

The difference is rarely how much an association does for its members. It is how often members notice.

An illustration, not a survey: the same member and the same association β€” seen a few times a year, or a few times a week.

Most associations already do plenty in a year: meetings, workshops, conferences, member benefits, certificates, elections. But when each of those lives somewhere different β€” a circular here, a WhatsApp forward there, a form on a website nobody bookmarks β€” members experience them as separate, occasional events. Put them in one app, on the phone members already check all day, and the same activity adds up to something members can feel: an association that is present, useful and theirs.

It changes what renewal feels like, too. A member who has shown their card, carried their tickets and used their benefits all year is renewing something they know. A member who has heard nothing since last year is paying a bill β€” or deciding not to.

What lives in the app

Members keep an app for one reason: it does something for them. An association's app earns its place on the home screen when the things members actually use live inside it.

In the member’s pocket

  • Membership card

With a QR code anyone can check

  • Events & tickets

Register, carry the ticket, get a reminder

  • Updates

From every association they belong to

  • Elections

Nominate, vote and see the results

  • Member benefits

    Offers from member businesses

  • Certificates

All of them, ready to download and share

  • Directory

Members by city, profession or speciality

  • Notifications

Only what they chose to receive

The things members actually use β€” in the one place they already look.
  1. The membership card β€” with the member's photo, membership number and plan, always to hand. Its QR code renews itself every few minutes, so an old screenshot will not pass for a live card, and anyone who scans it sees at once whether the membership is active.
  2. Events β€” register, carry the ticket, get a reminder by email the day before, and find the brochure and the schedule on the event itself. A member who once registered on the website as a guest finds that booking waiting in the app when they sign in with the same email.
  3. Updates β€” notices from their association and their chapter, in one feed. A member of several associations sees them all together, each item labelled with the association that sent it.
  4. Elections β€” nominations, the ballot and the results, with a one-time code to confirm that it really is the member voting.
  5. Member benefits β€” offers from member businesses, claimed by showing the card at the counter. Members can see what their benefits have saved them this year, and the businesses can see the custom the association has brought them. (Why that matters is the subject of The Membership That Pays for Itself.)
  6. Certificates β€” every certificate a member has received, from events, membership and more, in one list, ready to download.
  7. The directory β€” fellow members, found by city, profession or speciality. Each member decides who may see their phone number; by default, only the people they have connected with.
  8. Notifications β€” only the kinds of messages the member has chosen to receive, on the channels they chose.

None of these is remarkable on its own. Together, they give a member a reason to open the app on an ordinary Tuesday β€” and every time they do, they are reminded that they belong to something.

One app, every association

Most professionals belong to more than one association β€” a professional body, a local chamber, an alumni network β€” and nobody wants a separate app for each. In the app, a member who belongs to several associations sees them side by side, each clearly labelled, and can join another from the same place.

An association large enough to want its own identity can go a step further: the same app, published under its own name, with its own icon and colours β€” so that its members open their association's app, not a software company's.

What each person gets

When the association lives in members' pockets, it is not only members who gain.

The member

Proof of membership, benefits, tickets, votes and certificates β€” all in one pocket.

The newcomer

Joins from the app, and has a card to show as soon as the membership is active.

The secretary

Fewer calls asking for a receipt, a ticket or a certificate β€” members find their own.

Member businesses

Members who walk in with the card, and a record of the business the association brings them.

The president & committee

A direct line to members, and members more likely to turn up and to vote.

The association

Seen every week instead of once a year, so the value of membership is visible.

In the pocket, the association can reach everyone it serves β€” and they can reach it.

The member

Everything their membership gives them, in one place, whenever they need it: a card to show, a ticket to scan, a benefit to claim, a certificate to share, a vote to cast. Membership stops being a receipt in a drawer and becomes something they use.

The newcomer

A new member can join from the app and has a card to show as soon as the membership is active β€” on the very day their enthusiasm is highest.

The secretary

Far fewer calls asking for a copy of a receipt, a certificate or a ticket. Invoices and receipts, certificates and tickets are all waiting in the member's own app, and members find them without asking anyone.

Member businesses

Members who walk in with a card and a reason to choose them β€” and a running record of the business the association has sent their way. Staff at the counter can check a card and record a benefit without needing an account of their own.

The president and the committee

A direct line to members for the moments that matter, and members who are more likely to turn up and to vote because the association is already part of their week.

The association

The value of membership, visible every week instead of argued once a year at renewal time.

Putting it to work

An app is not a magic trick. Members install what is useful, and delete what only ever asks them for something. The association that wins a place on the home screen is the one that makes its app the easiest way to do the things members already want to do:

  • Share one link and one QR code that take every phone to the right app store β€” on your website, in your emails, and on the screen at every event.
  • Make the app the place where things happen β€” tickets, certificates, votes and benefits. Members install what they need.
  • Arrange benefits with member businesses, so the card has somewhere to be shown every week.
  • Send updates to the right groups, not to everyone, so the app is worth opening (more in The Right Hundred).
  • Ask your office-bearers to go first. Members follow the people they know.
  • Mention the app at every event β€” from the stage, at the door and on the certificate table.

Don't wait for the renewal notice to remind members that they belong. Be in their pocket, and they will feel it every week.
